03 / INTEGRATIONS & AUTOMATION

System integrations & workflow automation.

Stop paying your team to move information between systems.

System integration and workflow automation for established UK businesses. We connect CRMs, accounting software such as Xero and QuickBooks, payment providers and messaging tools around a clear, accountable process.

RUN AN EVENT

One event.
Every system updated.

Choose a business event and watch it reach each connected system in order.

EVENTNew client signed
CRM record created
Welcome email sent
Onboarding tasks assigned
First invoice raised

Every system updated once. Nobody retyped anything.

Retries with limits

If a supplier’s system is down, the update waits and tries again rather than vanishing.

No duplicates

Each event carries a reference, so a repeated message never creates a second invoice.

Alerts a person can act on

When something needs attention, the right person is told what failed and why.

A log you can read

Every sync is recorded, so you can answer “did that go through?” in seconds.

THE BUSINESS CASE

A dependable workflow, not just a connection.

Your people copy information between systems, chase the same updates or reconcile records by hand. The tools are useful individually, but the gaps between them create avoidable work and make it hard to see what has happened.

01

Start with a complete business event

A new enquiry, an approved quote or a received payment usually starts a chain of work. We map that chain end to end: which system holds the record, what information is needed, who approves the next step and where exceptions go. That shows which parts can run automatically and which decisions should stay with your team.

02

Connect systems without losing control of the data

An integration needs more than an API request. We define how fields correspond, which system is the source of truth and how duplicate or incomplete records are handled. Updates run in response to an event or on a schedule, depending on the software and the need. API access, usage limits and subscription tiers are checked before we recommend anything.

03

Plan for the cases that do not go to plan

A payment fails, an external service goes down, a record arrives incomplete. We build in retries, visible error reporting and manual review paths so problems never disappear silently. Important actions can require a person to approve them. The aim is a process your team can trust and oversee.

BEFORE YOU COMMISSION

Good questions.
Clear answers.

CRMs such as HubSpot and Salesforce, accounting packages such as Xero and QuickBooks, payment platforms such as Stripe and GoCardless, and email or messaging tools are common candidates. Availability depends on the product, plan and permissions, so we assess your actual tools before confirming what is possible.

Some workflows respond immediately to an event through a webhook. Others suit a scheduled sync because of the software’s limits or because a periodic update is more appropriate. We agree the timing, the source of truth and what happens if an update cannot complete.

Yes. A quote, invoice or sensitive record change can wait for a named person to review it before the next step runs. We define who approves, how they are notified and how the decision is recorded.

Measure the time spent on the current task, how often it happens and the cost of errors or delays. Compare that with build and running costs. We use those figures to prioritise a first workflow, and we do not promise savings before understanding the process.
