01

The operational reality

Running a multi-occupancy commercial estate meant availability lived in spreadsheets, proposals were assembled by hand and inspection photos were compared side by side, period after period.

Electricity readings were taken unit by unit each month and worked through by hand to produce each occupier’s bill. Safety checks were logged on paper, relying on someone remembering when the next one was due.

The result was slow offers, repeated admin and condition disputes that took weeks to settle.

02

Leasing and proposals

Unit Flow holds a live inventory of offices, studios, meeting rooms, flex desks and podcast studios, with availability visible at a glance.

Proposals are built in minutes with photo packs and virtual tours attached, then shared through a secure link. Client mode hides internal floor prices, so the platform can be used openly during a viewing.

03

AI-assisted unit inspections

Each inspection is compared with the previous period. The platform highlights what has changed, such as new staining, added fixings or unusual wear, and separates it from expected use.

Every finding is backed by dated photographs, giving both landlord and occupier a clear, shared record.

04

Monthly electricity billing from actual readings

Each month the team records the current reading from every unit’s meter. Unit Flow compares it with the previous month’s reading, works out the kWh used and produces the current bill for that occupier.

Usage is shown against last month, so unusual jumps stand out before a bill goes out, and every charge can be traced back to the readings behind it.

05

Safety and compliance logs

Recurring estate safety checks are scheduled and logged in one place: weekly fire call point tests every Thursday, monthly emergency lighting tests on the 10th, and monthly fire door, blanket and extinguisher checks on the 4th.

The team can see at a glance what is due, what has been logged and what is overdue.

06

The outcome

  • Proposals in minutes, not hours
  • Inspection changes flagged automatically, with photographic evidence
  • Every electricity bill backed by a recorded reading
  • Every safety check scheduled and logged
